INSURANCE

***If you are using your own insurance provider, please ensure that you:
1) Are covered for Two Million Dollars ($2,000,000) per occurrence for personal injury and/or property damage
2) Include the following as ADDITIONALLY INSURED on your event policy:

PARKING PASS

The Edmonton EXPO Centre has a convenient online parking pass portal (visit link below).  A weekend pass is $45 and is valid for the full duration of the event, including all event days plus move-in/out.

EXHIBITOR MOVE-IN/PREP SCHEDULE:

INITIAL MOVE-IN:
FRIDAY MORNING, Oct 4 – Starting at 10:00am
(doors open to the public at 5pm)

SAT/SUN MORNING PRE-PREP:
Saturday Morning, Oct 5 – doors will be open for exhibitors at 9:00am.
Sunday Morning, Oct 6 – doors will be open for exhibitors at 10:00am.


IMPORTANT!  All booth numbers have changed!  REGISTER FIRST when you arrive for move-in to RECEIVE YOUR NEW BOOTH NUMBER


MOVE-IN PROTOCOL:  

  1.  The HALL E loading bay is accessible only from 79 STREET off of 112 Avenue — see map below or VISIT HERE for a printable version.
  2. When you arrive at the HALL E loading bay, REGISTER FIRST with our YYC Foodies Registration Team to receive your NEW BOOTH NUMBER.— Our YYC Foodies Registration team will be located by the loading bay.****NOTE:  All booth numbers have changed — REGISTER FIRST to avoid setting up in the incorrect booth!
  3. Unload all your items and move your vehicle BEFORE SETTING UP to allow access for other exhibitors!  For exhibitor parking location, see map below or VISIT HERE for a printable version.

EXHIBITOR WRISTBANDS & STAFF ARRIVAL:

When you arrive, you and your entourage will receive a wristband.  We will also supply you with extra wristbands for your staff arriving later.  If you are unable to give the wristband to your staff in person before the event starts, no panick!  Just inform them that when they arrive at the Edmonton EXPO Centre, they enter through the FRONT DOORS at HALL E (security will not let them through the back door). They just have to inform our front door registration team that they are an exhibitor. They will then receive a wristband.

STALL PACKAGE

BOOTH SIZE:

— Any furnishings

MANDATORY REQUIREMENTS

GENERAL FOOD RETAILERS/DISTILLERS
All food service retailers must have the following within their booth:
— Temporary hand-washing station — for example, VISIT HERE
— Copy of insurance policy

ONSITE FOOD CONSUMPTION
Onsite Food Consumption Restaurants and Caterers must have the following within their booth:
Fire extinguisher – ABC and/or K Type depending on what equipment you are cooking with. The K extinguisher is for combustible grease, oil & animal fat fires
— Temporary hand-washing Station — for example, VISIT HERE
    ****** YEG Foodies Festival is also supplying one community 2-sink (hot/cold water) portable station located in the hall. More details will be provided once you arrive for move-in.
— Copy of insurance policy

GARBAGE CONTROL

You are required to keep your area clean at all times so ensure that all waste is properly sorted in an enviromentally, sustainable way. Waste management/disposal protocol information will be provided to you during move-in.

NOTE: “Excess and speciality waste disposal” that requires additional resources to be serviced are subject to an additional charge.


LEAVING YOUR DISPLAY OVERNIGHT

Show management will stay onsite to ensure the doors are locked once all visitors and retailers have left the building. Although the doors are locked — the Edmonton EXPO staff have access to the building at any time. To ensure you are not a victim of theft, bring extra tablecloths to cover all your products — and take all valuables home with you.


ATM AVAILABILITY

The Edmonton EXPO Centre has many ATM portals located at the front entrance of Hall E.


WIFI – Not Available

The Edmonton EXPO Centre charges an excessive amount per exhibitor for WIFI – over $250/exhibitor. For this event, you will be using your own data.  If you do not already know how to “hot spot” to your POS system or tablets, contact your service provider.


FOOD/BEVERAGE

You are at the right event if you love food! Our community of restaurants and caterers will have plenty of bites to nosh on – and YES! – all foodie preferences and special diet requirements are covered!  Please note that this is not a licensed event (this year) :0


MOVE-OUT

The events run until 5:00pm on Sunday OR a few minutes later if visitors are still shopping.

Don’t be a jerk by attempting to tear down early!  You are disrupting all the other professional retailers and late arriving visitors!  This type of conduct will automatically ban you from all future events.


CANCELLATIONS

And just so we are all on the same page —- let’s have a quick chat about cancellations just because this seems to be not taken seriously.  As you are fully aware – there are no refunds whatsoever. For reference, VISIT HERE to refresh on the binding contract terms you agreed upon to when applying.
